AI receptionist vs IVR
An IVR asks the caller to adapt to a menu. An AI receptionist adapts to the caller. That one difference drives everything in the table below.
| Traditional IVR | AI receptionist (Canarics) | |
|---|---|---|
| Caller experience | "Press 1 for sales, press 2 for service..." | The caller says why they are calling, in their own words |
| Languages | One recorded menu per language, maintained by hand | Latvian, Lithuanian, Estonian, Russian, and English in one conversation; follows mid-call switches |
| Routing | Static tree; wrong branch means starting over | Intent-based; transfers live to the right employee with context |
| Memory | None; every call starts from zero | Reads up to the last 20 conversations with that number before answering |
| Actions | Plays recordings, forwards calls | Books appointments, schedules callbacks, updates Pipedrive deals |
| After hours | Voicemail box | Handles the conversation; 8 to 29% of client conversations happen outside business hours |
| Resolves alone | Nothing; a human is always needed at the end | 48.5% of conversations at one measured client, start to finish |
| Setup | PBX menu configuration, re-recording on every change | Carrier-level connection, no hardware, a first agent live in days |

Where an IVR still wins
An honest comparison names the cases where the older tool is the right one. A configured IVR costs almost nothing to keep running. If regulation requires an exact recorded script, word for word, a recording guarantees it. And on extremely high-volume single-purpose lines ("say your parcel number") a short menu can genuinely be faster than a conversation. If that describes your line, keep the IVR.
For everything else, the question is what the menu silently costs you. One measured 22-person team lost 34.7% of inbound calls behind traditional routing in a single month.
Common questions
Can an AI receptionist replace our IVR without changing phone numbers?
Yes. Canarics connects at the carrier level (LMT, Tele2, Bite, or a custom integration), so existing numbers, phones, and contracts stay as they are. The IVR is simply no longer in the call path.
What happens when the AI transfers a call to an employee?
The AI transfers live to the right person and passes context from the conversation and from up to the last 20 previous conversations with that number. The employee picks up knowing who is calling and why.
Is an AI receptionist more expensive than an IVR?
Per month, yes. The comparison that matters is against the calls the IVR loses. Run your own numbers with the missed-call calculator.
